Client Case Closing Instructions

If you tell us to keep a case open for you,  we keep the file materials stored and any retainer available to us. Click here to keep case open.

To close the case --- complete the following form,  and submit the form to us.   When we receive this form from you, we will close the case, and render an accounting by mail on the retainer, with a return of any retainer fee not due for services.

Our standard contract provides that at the time a file is closed, a lump sum administrative file charge of $75 to $150 may be charged and included in the final billing (instead of all concerned waiting until normal anticipated time and costs have been completed and are ready for billing). That amount is intended to cover anticipated time and costs after the date of lump sum billing to you, including the cost of the normal miscellaneous phone calls, correspondence (e.g., closing letter returning unused retainer amounts), administrative matters and time involved in closing the file and normally anticipated contacts with you or others to close the file, plus sending any requested materials to you, 60 days normal storage, and then destruction of file materials at the end of the 60 days storage time,  The alternative is that we wait until all items have been completed, which may take 30 to 60 days. Unless otherwise instructed, we assume that you want the immediate closing and billing.

I understand that at the time a file is closed, unless I request otherwise, in writing, file materials will be stored only for 60 days, and then destroyed.  If I want material stored longer or specially, I must request it, and then storage will be charged at rates commensurate with volume and length of time to be stored. Insurance for stored materials is my responsibility.  Payment must be made in advance for storage more than 60 days, or materials may be destroyed without further notice. Materials will be destroyed at the end of paid storage time.
